Guest Agreement

Terms & Conditions

The Heiress Society Collection is curated and hosted by Legally Pink Travel, LLC. This Guest Agreement governs your reservation and participation in any Heiress Society Collection. Please read it carefully — by submitting a reservation, making payment, or participating in a Collection, you agree to be bound by these terms.

1. Reservations, Eligibility & Payments

Reservation Confirmation

Your reservation is confirmed only after all of the following have been completed:

  • Submission of the required registration form.
  • Acceptance of this Guest Agreement.
  • Receipt of the required initial deposit.
  • Written confirmation from Legally Pink Travel, LLC.

Submitting a registration request does not guarantee participation. Legally Pink Travel, LLC reserves the right to accept or decline any reservation at its discretion, consistent with applicable law and the goals of maintaining a safe, respectful, and cohesive guest experience.

Guest Eligibility

The Heiress Society Collection is designed for mothers and daughters seeking an intentional luxury travel experience centered on connection, cultural discovery, and shared memories.

Unless otherwise noted for a specific Collection, daughters should be at least 12 years of age at the time of travel. Guests under the age of 18 must travel with their parent or legal guardian.

Guests are responsible for ensuring they are physically able to participate in the activities included in the Collection. The itinerary may involve extended walking, stairs, uneven surfaces, and other physical demands. Guests with mobility concerns, accessibility needs, or medical conditions that may affect participation should discuss those needs with Legally Pink Travel, LLC before booking.

Pricing & Payments

The total Collection investment, payment schedule, and due dates will be provided at the time of registration. By submitting a reservation, the Primary Guest agrees to make all payments according to the established payment schedule.

Payments not received by the stated due dates may result in cancellation of the reservation. Legally Pink Travel, LLC will make reasonable efforts to provide payment reminders before any reservation is cancelled for non-payment. Returned payments, declined credit cards, or failed electronic payments remain the responsibility of the Guest and may be subject to applicable processing fees.

Pricing Changes

Once your reservation has been confirmed and your deposit has been received, your Collection price is locked unless changes are required because of:

  • Government taxes or fees.
  • Currency fluctuations.
  • Supplier-imposed surcharges.
  • Circumstances beyond the reasonable control of Legally Pink Travel, LLC.

Should a material pricing adjustment become necessary, you will be notified as soon as reasonably possible.

Changes Requested by Guests

Requests to modify a reservation after confirmation are subject to availability and supplier policies. Changes may result in additional costs, supplier penalties, or administrative fees, all of which are the responsibility of the Guest. Legally Pink Travel, LLC cannot guarantee that requested changes can be accommodated.

2. Travel Documentation & Travel Protection

Required Travel Documents

Each Guest is solely responsible for obtaining and maintaining all documentation required for international travel, including where applicable:

  • A valid passport.
  • Required visas or entry authorizations.
  • Health documentation required by destination authorities.
  • Customs or immigration documentation.
  • Any other documentation required by airlines or government agencies.

Guests are responsible for verifying entry requirements before departure. Legally Pink Travel, LLC is not responsible for denied boarding, missed travel, or additional expenses resulting from incomplete, inaccurate, expired, or missing documentation.

Travel Insurance

Because international travel involves circumstances beyond anyone's control, Legally Pink Travel, LLC strongly recommends that every Guest purchase comprehensive travel insurance. A quality policy should include, at a minimum:

  • Trip cancellation and interruption coverage.
  • Emergency medical expenses.
  • Emergency medical evacuation.
  • Lost or delayed baggage.
  • Travel delays.

Guests acknowledge that declining travel insurance may result in significant financial loss should cancellation, illness, injury, or travel disruption occur.

Health & Medical Responsibility

Guests are responsible for determining that they are medically fit for international travel and participation in the Collection. Guests should consult their physician regarding vaccinations, medications, or health considerations appropriate for the destination, and should travel with an adequate supply of prescription medications in their original labeled containers. Legally Pink Travel, LLC is not responsible for providing medical advice, administering medications, or replacing lost prescription medications.

3. Changes, Cancellations & Refunds

Guest Cancellations

All cancellation requests must be submitted in writing. The effective cancellation date will be the date written notice is received by Legally Pink Travel, LLC.

Unless otherwise stated in your individual reservation confirmation or required by applicable law, all payments made toward your Collection are non-refundable. This policy reflects the financial commitments made to hotels, transportation providers, activity partners, and other independent suppliers well in advance of departure. For this reason, travel insurance is strongly recommended to help protect your investment.

Cancellation by Legally Pink Travel, LLC

Although unlikely, Legally Pink Travel, LLC reserves the right to cancel or modify a Collection due to circumstances including, but not limited to:

  • Failure to meet minimum participation requirements.
  • Supplier cancellations.
  • Safety concerns.
  • Government restrictions.
  • Force majeure events.
  • Circumstances beyond our reasonable control.

If Legally Pink Travel, LLC cancels the Collection before departure for reasons within our control, Guests will receive either:

  • A refund of payments made to Legally Pink Travel, LLC for unused services; or
  • The option to transfer those payments to a future Collection, where available.

Refunds do not include independent expenses incurred by Guests, including airfare, insurance premiums, passport fees, visas, or other third-party costs.

Unused Services

No refunds, credits, or reimbursements will be provided for unused accommodations, meals, activities, transportation, or other services resulting from late arrival, early departure, missed activities, voluntary withdrawal, personal preference, failure to possess required travel documentation, or missed flights or transportation arranged independently.

4. Supplier Responsibility & Assumption of Risk

Our Role

The Heiress Society Collection is curated and hosted by Legally Pink Travel. To deliver each Collection, we partner with carefully selected independent suppliers, including airlines, hotels, transportation providers, restaurants, activity operators, photographers, guides, and other travel professionals.

These suppliers operate independently and maintain their own policies, procedures, safety standards, and terms of service. Legally Pink Travel, LLC does not own, manage, or control these suppliers and is not responsible for their acts, omissions, financial default, service interruptions, or operational decisions.

Assumption of Risk

By participating in the Collection, Guests acknowledge that international travel involves inherent risks that cannot be eliminated. These risks may include, but are not limited to:

  • Flight delays or cancellations.
  • Lost or delayed baggage.
  • Weather-related disruptions.
  • Illness or injury.
  • Food allergies or foodborne illness.
  • Transportation accidents.
  • Crime or theft.
  • Political or civil unrest.
  • Government travel restrictions.
  • Epidemics or pandemics.
  • Natural disasters.
  • Other unforeseen circumstances beyond the control of Legally Pink Travel, LLC.

Participation in the Collection is voluntary, and each Guest accepts these inherent risks.

Limitation of Liability

To the fullest extent permitted by law, Legally Pink Travel, LLC, Legally Pink Travel, its owner, employees, contractors, and representatives shall not be liable for any injury, loss, damage, delay, expense, inconvenience, or claim arising from:

  • The acts or omissions of independent suppliers.
  • A Guest's failure to comply with this Agreement.
  • Circumstances beyond our reasonable control.
  • The inherent risks of international travel.

In no event shall the total liability of Legally Pink Travel, LLC exceed the amount paid directly to Legally Pink Travel, LLC for the applicable Collection.

5. Photography, Privacy & Communications

Photography & Video

Professional photography is one of the signature elements of The Heiress Society experience. Throughout the Collection, photographs and video may be captured by professional photographers or members of Legally Pink Travel, LLC team to document the experience.

Unless a written Media Opt-Out Request is received before departure, Guests grant Legally Pink Travel, LLC permission to use photographs or video containing their likeness for promotional, educational, and marketing purposes without additional compensation. Guests who prefer not to appear in promotional materials should notify Legally Pink Travel, LLC in writing before travel. While every reasonable effort will be made to honor these requests, incidental appearance in group settings or public spaces cannot be guaranteed.

Guest Photography

Guests are encouraged to capture and share their own memories while respecting the privacy of fellow participants. Please obtain permission before posting close-up photographs or videos of other families on public social media platforms.

Privacy

Personal information collected during registration is used solely for planning, coordinating, and delivering your Collection. Information may be shared with trusted suppliers only when necessary to provide travel services. Legally Pink Travel, LLC does not sell Guest information to third parties. Guests may receive operational communications regarding their reservation as well as occasional updates about future Collections; marketing communications may be discontinued at any time.

6. Community Standards

The Heiress Society Collection was created to provide an intimate, welcoming environment where mothers and daughters can connect through meaningful travel. Every Guest contributes to that experience. Accordingly, Guests agree to:

  • Treat fellow guests, staff, and suppliers with courtesy and respect.
  • Follow local laws and customs.
  • Arrive on time for scheduled activities.
  • Respect the privacy of other families.
  • Exercise responsible judgment throughout the Collection.
  • Follow reasonable instructions from Collection hosts and local guides.

The following behavior may result in removal from the Collection without refund:

  • Harassment or discrimination.
  • Physical violence or threats.
  • Illegal drug use.
  • Excessive intoxication.
  • Theft or destruction of property.
  • Conduct that jeopardizes the safety or enjoyment of others.

Should removal become necessary, all additional transportation, lodging, and related expenses shall remain the responsibility of the Guest.

7. Accessibility & Special Requests

Legally Pink Travel, LLC welcomes Guests with diverse needs and will make reasonable efforts to communicate special requests to travel suppliers. Special requests — including dietary preferences, room preferences, accessibility needs, and celebration requests — cannot be guaranteed and remain subject to supplier availability.

Many destinations visited during the Collection include historic buildings, cobblestone streets, stairs, uneven walking surfaces, and other accessibility limitations. Guests requiring assistance with mobility or personal care should travel with a companion capable of providing that assistance, as Legally Pink Travel, LLC team and independent suppliers are unable to provide ongoing personal care. Guests are responsible for bringing all required medications, medical devices, and personal equipment necessary for travel.

We encourage Guests to discuss accessibility concerns before booking so we can help determine whether the Collection is an appropriate fit and communicate any requests to our travel partners.

8. Intellectual Property

Legally Pink Travel, LLC name, branding, logos, itineraries, written materials, photography, videos, digital content, educational resources, and other original materials remain the exclusive intellectual property of Legally Pink Travel, LLC and Legally Pink Travel unless otherwise stated. These materials are provided solely for the personal use of registered Guests.

No portion of these materials may be copied, reproduced, distributed, modified, published, sold, or used for commercial purposes without prior written permission from Legally Pink Travel, LLC. Nothing in this Agreement grants ownership or licensing rights to any intellectual property belonging to Legally Pink Travel, LLC.

9. General Legal Terms

Force Majeure

Legally Pink Travel, LLC shall not be responsible for delays, modifications, interruptions, or cancellation of any portion of the Collection resulting from circumstances beyond its reasonable control. These circumstances include, but are not limited to, severe weather, natural disasters, acts of government, war, terrorism, public health emergencies, labor disputes, transportation interruptions, border closures, or other unforeseen events. When such events occur, Legally Pink Travel, LLC will make reasonable efforts to communicate promptly, work with suppliers to identify available alternatives, and minimize disruption whenever possible.

Governing Law

This Guest Agreement shall be governed by and interpreted in accordance with the laws of the State of New York, without regard to its conflict of law principles. Any legal action arising from this Agreement shall be brought in a court of competent jurisdiction located within the State of New York, unless otherwise required by applicable law.

Severability

If any provision of this Agreement is determined to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

Entire Agreement

This Guest Agreement, together with your reservation confirmation and any documents specifically incorporated by reference, constitutes the entire agreement between the Guest and Legally Pink Travel, LLC regarding the Collection. No verbal statement, advertisement, social media post, or prior communication shall modify this Agreement unless confirmed in writing by Legally Pink Travel, LLC.

Amendments

Legally Pink Travel, LLC reserves the right to update this Agreement when reasonably necessary. Any material changes affecting an existing reservation will be communicated to the Primary Guest in writing.
